1. What is Reference Data Sharing?

Reference data sharing in Oracle HCM allows organizations to group and share set-enabled reference data like jobs, departments, locations, and grades across different business units. This ensures consistency while allowing business-specific configurations.

2. Business Unit and Set Assignment

Each business unit is assigned a default reference data set for all reference data types (e.g., jobs, locations). However, organizations can override set assignments for specific data types.

3. Example: Business Unit and Set Assignment

A company, InFusion Corporation, has two divisions, Lighting and Security, across multiple locations. They create business units based on country and function, such as:

  • Sales_Japan, Marketing_Japan, Sales_US, Sales_UK, Marketing_India, Sales_India

To ensure location, department, and grade data remain business-unit specific, they create separate reference data sets for each unit. However, since Sales jobs are shared across locations, they create a Jobs set that is common across business units.

4. How Reference Data Works in Transactions

  • Employees in Marketing_Japan can select grades, locations, and departments from Mktg_Japan_Set and the Common Set.
  • Employees in Sales_India can select jobs from the Jobs Set and the Common Set.
  • This filtering ensures that users only see relevant reference data based on their business unit.
